Our President is looking for a Personal Assistant (PA). The Candidate should have previous work experience supporting executives and be able to work in a fast-paced professional environment. The candidate should possess above average personal skills, ability to work with minimal direction but be able to 100% support and foresee any concerns that may arise for the President. We are looking for an individual who is focused and able to support the daily needs of our busy President under any circumstances. This included ensuring the President is to all meetings on time and has all the articles he needs to conduct business in a seamless fashion.

Main Duties:

  • Anticipate and address the needs of the President related to daily and future activities
  • Manage the flow of information and documentation with confidentiality and urgency
  • Manage President appointment schedule
  • Plan and schedule meetings, conferences, conference calls and setting up any required IT supports
  • Manage itineraries, daily , weekly and monthly and to follow up with President on every meeting in a timely fashion
  • Make travel and hotel arrangements regularly and ensure itinerary is sent to President
  • Reserve meeting rooms
  • Coordinate meeting refreshments, welcome and greet guests, in person or on the phone
  • Coordinate agendas
  • Attend, prepare and circulate minutes for group staff meetings and other meetings
  • Provide executive level administrative support in functions such as document production, file management and retrieval, email management and contact database maintenance
  • Represent the President in meetings or communications with clients when necessary
  • Prepare and submit expense reports and cheque requisitions in a timely manner and in accordance with relevant Grantech policies when required

Employment Requirements:

  • 5+ years previous experience working as an administrative assistant or executive assistant required
  • Oil and Gas Experience is a strong benefit
  • Proficient in all Microsoft Office software including Word, PowerPoint, Excel and Outlook
  • Strong, fast and accurate typing skills are required
  • Proven ability to work effectively as member of a dynamic and growing team
  • Above average interpersonal skills
  • Concise verbal communication skills and excellent grammar
  • Proven ability to take independent action on handling management requests and determine appropriate course of action when working independently
  • Demonstrated ability to handle varied and multiple administrative assignments
  • Skilled in dealing with periodic, high intensity work situations associated with client management, business negotiations, and related workload activities
  • Desire to succeed and a positive attitude!
