Reports To: Sales/Service/Parts manager

Job Description:

The receptionist/greeter properly represents the dealership as he/she is usually the customer's initial contact with the dealership whether it's by telephone, in person or via email. They will assist every department in every way to welcome clients to the dealership. They must represent the dealership in a professional and courteous manner at all times. The successful candidate will greet customers as they enter the showroom and direct them to the appropriate department or individual in accordance with the dealership policies. They will also be required to answer basic inquiries. Furthermore, they will be required to become familiar with product knowledge and provide information to customers in a professional and courteous manner in the event he/she is ever asked.

Duties and Responsibilities:

Please note that the following list of duties and responsibilities is not exhaustive and that you may be expected to perform other reasonable duties and responsibilities should the need arise.

-Answer all incoming calls to the dealership in a timely and friendly manner

-Provide a daily report of all incoming calls as per the tracking sheet

-Greet customers in a friendly yet professional manner at all times and determine the nature of their visit.

-Monitor that customers are looked after if the person they are waiting for is busy or occupied and offer them a beverage while they wait

-Assertively and cheerfully perform any and all activities necessary to improve and maintain the highest possible level of customer satisfaction.

-Direct customers to the correct department, notify the appropriate representative or introduce the customer to a sales representative if they do not have one.

-Answer basic customer inquiries and refer more extensive inquiries to the appropriate individual.

-Provide necessary sales material or hand outs as required.

-Assist sales personnel in business development
-Obtain basic demographic information about each customer using the log sheets and the system provided.

-Obtain information from the Client Delivery Consultant to generate thank you letters to each customer, which are required to be sent within 24 hours of purchase.

-Actively support “Dealer of Excellence” to ensure optimal dealer scores.

-Any other duties assigned by your supervisor.

-Knowledgeable and familiar with the Microsoft Office such as Word & Excel

-Check incoming emails frequently and distribute mail ito the individuals they are addressed to

-Respect and adhere to all company policies including the opening and closing of the dealership, security/alarm, demos, conduct, dress code, receivables and audit policies are of utmost importance

-Inform Human Recourses of any personal record changes, sick days, vacation requests and training

-Maintain and update all training and vacation schedules and forward all requests to Human Recourses with a minimum of 2-week notice

-Participation in all meetings or training sessions that the manufacturer schedules

-Responsible for the cleanliness and stocking of supplies in the dealership’s kitchens, client areas, washrooms and all other client contact points. This will include keeping the merchandise displays attractive and presentable

-In addition, directions and instructions from the company's GM, Controller and Marketing Director must be followed


-Ability to follow and comprehend instructions and information

-Excellent oral communication skills

-Friendly outgoing personality with a professional personal appearance

-Ability to accurately communicate a customers' interests, needs, and requests to management and sales personnel

-Prior reception related experience
