We are currently looking for an Administrative Assistant to support one of the Partners. This person should be a strong administrator with an entrepreneurial spirit.
Responsibilities of this position include:
Providing direct administrative support to Partners and respective professional staff;
Conversion of financial statement and other documentation as required into various formats for electronic presentation;
Composing and editing correspondence, proposals and reports as required;
Quality management of paper and electronic files such as retrieval, storage and set-up
General administrative duties including photocopying, scanning and mass mailings, as required
Drafting, designing, writing and reviewing correspondence, reports, letters, spreadsheets, proposals, presentations and business development documents, while creating value added graphics and formatting
Administrative duties with regard to client development and support
Preparing expense reports in an accurate and timely manner to ensure compliance with firm policies
Assist in billing, WIP Analysis, distribution of invoices and A/R Collection
Receiving, monitoring and responding to incoming telephone calls, correspondence and requests for information
Qualifications & Behavioural Competencies:
Minimum of 4+ years experience in an administrative or support position in a professional services environment, preferably in a financial services or accounting industry
Ability to prioritize workload and the flexibility to manage multiple tasks
Knowledge of office specific software such as Microsoft Office (Outlook, Word, Excel and PowerPoint),
Experience working in a fast paced environment with tight deadlines
Superior attention to detail
Must have excellent interpersonal skills and be able to liaise with partners, staff and outside parties in a professional manner
Creative problem solving abilities
Must be able to deal with confidential matters appropriately
Must be able to work independently and as part of a team
