General Office Administrator – Insurance Brokerage

Job Summary:

This position provides general office administrative support to all team members in the Vancouver office and helps to ensure that all office systems run smoothly. The position is semi part time – 30 hours per week. Ideal for a parent that wants to work 9-3 while the kids are in school.

Job Responsibilities:

  • Maintenance and Organization of Filing System
  • Creation of Client and Prospect Files
  • Entry of Client Data into TAM system
  • Research work for Producers as needed;
  • Prepare mail & courier packages,
  • Create sets of client files and prospect files
  • Receptionist duties: answer general office number calls, welcome visitors, filter & transfer calls, take messages, determine call/subject urgency
  • Liaise with cleaning company & property management company, send special cleaning / building event reminders to office
  • Archive files for offsite storage.
  • Monitor machinery, stationery, toner & office supplies; order supplies from suppliers:
  • Make calls for maintenance & repairs in the office.
  • Collect mail daily from mail box in lobby
  • Compile cheques/ invoices for courier to head office twice a week.
  • Renew corporate & individual insurance licenses yearly
  • Personal Assistance work for President as needed:

o i.e.: expense reports, prospect lists for mailing, labels, researching office equipment/ marketing avenues, typing, completing applications, stationery, other Ad Hoc as requested

  • Assistance may be required on various Projects
  • Issuance of Certificates of Insurance as needed
  • Other duties as required

Experience/Skills Required:

  • 1+ years of Insurance related experience a plus
  • Understanding of TAM (The Agency Manager) an asset
  • Excellent Computer Skills: Including Word, & Excel
  • Able to multi-task and prioritize in a high paced office
  • Accuracy and attention to detail a must
  • Enthusiasm for Entertainment related industries, particularly film
  • Positive Helpful Attitude
  • Excellent Communication Skills
  • Love of the arts and film in particular a plus

Flexibles hours are available for this position between 8:30 and 5:30.
The work week will be 30 hours a week.
Ideal for a parent that wants to work 9-3 while the kids are in school.
Pay range is $28,000 – 30,000.
Three weeks paid vacation time.
