Purpose
As part of the onsite Field Team this role will be responsible for daily administrative support, office management, administrative processes, procedures and ensuring an effective and efficient work environment. This role will offer a shift of 10 days in the field/4 days off. The work environment is in a remote camp setting.
Reports to
Project Manager

Responsibilities
Records daily time allocations of field staff
Records daily inputs of data for field staff in a database
Manages travel and room bookings of field staff
Manages procedural paperwork at the site level, including purchase order receiving, meeting minutes, etc.
Follows up on Time and Material daily reports internally and externally
Keeps track of all Time and Material reports and summaries
Manage incoming telephone calls and emails appropriately and professionally
Receiving, processing, and distributing incoming/outgoing mail and vendor transmissions
Assists in the compilation and submission of daily, weekly, monthly or other ad-hoc reports as necessary
Processes and coding general & administrative invoices and route to appropriate managers for approval, related to camp and travel, training courses, and site office management
Monitors and assures compliance with document retention policy and procedures for the organization
Support in the use of various office software products including Excel, Word, and Outlook.
Supporting personnel administration processes with strict confidentiality

Qualifications
Qualifications
Education
3-5 years experience with office administration and office support experience, field experience would be considered an asset

Skills
General knowledge and understanding of the oil and gas industry and terminology
Proficient user of the computer and office software products
General supervision is provided; the role would require independent judgement, decision making, problem solving and organizational skills
Strong organization skills
Proficient with multi-tasking
Strong record of customer oriented approach when handling team members, site visitors, and contractors
Able to maintain a high level of discretion, confidentiality and reliability
Highly effective communication skills, ability to interact and support a diverse staff, ability to work productively in teams
Ability to work under pressure and to bring effective solutions to conflict situations
Ability to work with little day to day supervision

Work Environment
Regular work at client sites at remote camp and/or rig locations in Western Canada will be required. Overnight stays for the duration of the work shift will be required. Experience working and living in oil & gas or mining work camps is an asset.

Travel Required
Will be required to travel to remote work site locations on a regular basis
