Seeking Robin for our Batman (Executive Assistant to the CEO)

You are the ultimate sidekick. You are proactive, instinctive and full of sharp ideas and clever solutions. You are a creative business type with a penchant for nailing the details while envisioning the big picture. A veritable juggler of tasks and challenges, you have an uncanny knack for numbers but you can easily switch gears to do some creative writing, welcome a client or update the Facebook page. Nothing shocks you, scares you or slows you down. You are more flexible than a Cirque du Soleil acrobat, more organized than Gordon Ramsay’s pantry and more insightful than an episode of Oprah. The Executive Assistant will never be bored and will most certainly find personal reward acting as the underwire to a young, busy, dynamic, occasionally demanding CEO.

Specifically, responsibilities include, but are not limited to:

Clients

  • Greeting Clients, scheduling appointments, follow up & client appreciation initiatives
  • Client billing and invoicing
  • Client resources & project assistance

Administrative & Bookkeeping

  • Managing CEO schedule: email, travel, calendar and events
  • Organizing files, office and materials
  • Preparation for Bookkeeper
  • Accounts Payable/Receivable & some payroll

Marketing

  • Database Management
  • E-communication Coordination
  • Social media: Content strategy, editing, posting & interacting
  • Graphic Designer Coordination
  • Website content updates
  • Promote CEO speaking engagements, bookings & follow up

Event Planning

  • Webinars: Setup, scheduling, coordination, promotion
  • Coordination of various dinner events and presentations, event admin, vendor management, promotion and setup

Experience:

  • Minimum 5 years EA support experience
  • Advanced computer skills including knowledge of Microsoft Office (Word, Excel and Powerpoint/Keynote)
  • Marketing experience: Understanding of social media, writing skills, design skills an asset
  • Basic accounting experience
  • Experience using MAC

Skills:

  • Exceptional written/verbal communication skills
  • Ability to work independently and manage time efficiently
  • Exercises a high degree of judgment, tact, creativity and initiative to resolve problems

F/T with some flexibility in hours. Start mid-July.
