In this role you will be responsible for a number of areas including reception, office administration, financial management assistance, operational office support, inside sales administration and event coordination.

Please note that if you are applying outside of Calgary and within 2-hours of the surrounding area that you should anticipate you will be required in the city at least a couple of times of week for in-person meetings or events.


  • Answer general phone inquiries using a professional and courteous manner.
  • Direct phone inquires to the appropriate staff members.
  • Reply to general information requests with the accurate information.
  • Greet visitors to the organization in a professional and friendly manner.
  • Appointment setting to new prospective customers.
  • Manage mail, faxes, and courier deliveries for distribution and sending.
  • Forward incoming general e-mails to the appropriate staff member.
  • Purchase, receive and store the office supplies ensuring that basic supplies are always available.
  • Update and ensure the accuracy of the organization's databases.
  • Provide secretarial and administrative support to entire team.
  • Make travel, meeting and other arrangements for staff.
  • Preparation of invoices and statements for customers.
  • Management of accounts receivables and accounts payables.
  • Event Management including venue procurement, logistics and setup.
  • Management of all communications externally and internally to prospects, vendors and customers.
  • Relationship management with Eligeo vendors, customers and prospects.

Systems Knowledge:

  • Office Suite Experience specifically Microsoft Word, Excel, PowerPoint and Google Apps (Docs, Spreadsheets and Google Drive).
  • Email Systems specifically Gmail.
  • Other online systems including MailChimp, Facebook, Twitter.
  • Experience with Freshbooks billing system is desired but not required.

  • High School Diploma
  • Post secondary education in business, computers, or office management is an asset
