POSITION SUMMARY
The “Clinical Administrator A” for the Primary Care Network (PCN) works as a member of the support team to provide administrative assistance and support for the central Primary Care program in a variety of clerical and secretarial functions. This role reports to the Primary Care Program Lead.

KEY RESPONSIBILITIES
General

  • Support an organizational culture that fosters excellence and multi-disciplinary teamwork;
  • Act as a resource to other team members;
  • Offer training support for other team members and assist in their professional development;
  • Ensure the maintenance of accurate records in line with practice policy;
  • Participate in team conferences;
  • Participate in the PCN’s education program; and
  • Participate in the maintenance of a healthy and safe work environment.

Clerical/Clinical

  • Greets and directs clients;
  • Accepts all new referrals via phone, fax or email;
  • Provides clerical duties such as: answering phone calls, filing, faxing,
  • Coordinates and directs referrals to the appropriate care provider;
  • Coordinates all patient appointments, tracks, monitors and reports utilization;
  • Coordinates appointment schedules and room management for Multidiscipline care providers;
  • Maintains data base for Multidisciplinary care providers and patient education classes;
  • Orders and maintains all supplies for patients education materials and other resources;
  • Provides general secretarial support to the Multidisciplinary team including: preparation of correspondence (drafting, editing and formatting), while ensuring a consistent level of quality;
  • Handles petty cash as required;
  • Communicates and collaborates with health care services and resources in providing and coordinating patient care and follow-up;
  • Manages website on line scheduling;
  • Collects and processes data in support of the evaluation of the central Primary Care program and its services and
  • Assist in maintaining work/clerical area cleanliness.

QUALIFICATIONS AND REQUIREMENTS
A successful Clinical Administrator “A” will possess and demonstrate key attributes and skills and have the minimum experience and education, as follows:
Education

  • High School diploma;
  • Completion of a post-secondary certificate in Secretarial, Office Administration or Medical Office Assistant from a recognized institution;

Experience, Knowledge and Skills

  • Preference given to those with at least 2 years work experience in a medical setting;
  • Experience in establishing protocols for program start-ups, especially developing plans and priorities when workload is undefined
  • Evidence of own professional development;
  • Ability to build a strong working relationship with healthcare professionals, patients, PCN team members, and members of the community
  • Clear and concise communication skills - both verbal and written – including strong grammar, proof-reading and editing skills,
  • Understanding and respect of confidentiality;
  • Excellent formatting, grammar, spelling and proofreading skills and
  • Experience working with electronic medical records and Proficiency in Microsoft Office (Excel, Word, Power Point, and Access), MS Scheduler and Exchange are required. A word-processing speed of 50 WPM is preferred.
