Medical Office Assistant
Rate of Pay: To be Determined
Hours of Work: Monday to Friday Full Time hours (Daytime)
Under the direction of the Team Leader and Clinic Director, the Medical Office Assistant (MOA) works collaboratively with the multi-disciplinary team of the Edmonton MSK Centre to help manage patients, families and caregivers through the continuum of care.
The Medical Office Assistant plays a key support role to the Case Manager and Surgeon in helping to organize and schedule care for patients, and develop rapport with the patients, their families and external stakeholders such as Alberta Health Services.
>Coordinates internal clinic and external appointments with patients as they relate to examinations, testing and education;
>Maintains wait-list in conjunction with Case Manager, including keeping up to date and accurate information on patient status within the Electronic Medical Record (EMR);
>Builds rapport with patient and family;
>Prepares initial consult package, teaching chart, and Operating Room (OR) chart ensuring they are complete with all appropriate information as per the chart order process;
>Completes clinic reconciliation with Case Manager after each clinic and ensures all information is updated within the EMR/chart;
>Assists with collection of data as requested by the Team Leader and Clinic Director;
>Develops OR schedules within the EMR system based on the templates and input from Clinic Director;
> Manages Surgeon dictations including sending dictations/day sheets to the transcriptionist, and uploading dictations to patient charts within the EMR in a timely fashion;
>Contacts “no-show” patients from clinic and reschedules them;
>Rooms patients and maintains the cleanliness of exam rooms;
>Prioritizes and responds to phone calls and messages in a timely manner (required 48-hour response time). Triages calls and ensures that Case Manager is aware of calls that require nurse intervention;
>Completes patient check-in for clinic;
>Attends to a variety of administrative duties within clinic such as faxes, scanning, shredding, photocopying, compiling patient information booklets, and other tasks as required by Case Manager and/or management team;
>Schedules patient education as required and follow-up as necessary;
>Maintains strict confidentiality with regard to patient data and sensitive information;
>Responsible for managing surgeon clinic’s until completed, which may require working outside regular working hours;
>MOA’s are a part of a team and may be requested to help other teams as workload varies;
>Updates and maintains accuracy in the VAX system;
>Participates in an environment that supports an ongoing Quality Improvement. Assists in the development of Quality projects/initiatives;
>Other administrative duties as requested by Management .

>Proficient in Microsoft office applications and clinically based EMR;
> Aware of the limits of their scope of practice.
>Medical Office Administration diploma or certificate or equivalent work experience
>Preferred 3 years recent medical office or clinic experience, preferably in orthopedics

>Case Managers – Registered Nurses
>Surgeon office staff
Patients, patient family/support, healthcare institutions, diagnostic services, regional health authorities, Alberta Health Services, Alberta Bone and Joint Health Institute, community and volunteer agencies.
