Edmonton Catholic Schools is a large urban school district whose mission is to provide a Catholic education that inspires students to learn and that prepares them to live fully and to serve God in one another. The job is a unique role in Human Resources responsible for the day-to-day administration of a substitute staffing budget of 3.5 million. The job provides accurate, appropriate and timely payroll services for substitute, casual hourly. Responsibilities include: determining placement on the appropriate salary grid; processing a variety of complex payroll transactions; entering data; conducting post-audit of payroll transactions; responding to payroll inquiries; and records management.
The job works with significant independence in providing payroll services for both certificated and classified staff.
This is a 12 month, Level 5, 0.57 FTE (4 hrs. /day) permanent position to commence as soon as possible. Salary as per current Collective Agreement.
Researches education, experience and certification for new hires and calculates credited service;
Determines appropriate placement of substitutes and classified staff on salary grid based on qualifications;
Generates monthly anniversary report for ECSSA staff to determine grid increases and process adjustments accordingly;
Processes a variety of payroll transactions in accordance with district policies, collective agreements, contracts, Alberta School Act, and federal and provincial legislation;
Acts as primary contact for principals, administrators, managers and staff to interpret collective agreements, policies, protocols and regulations;
Inputs new hiring data for substitute Teachers, Educational Assistants and ECSSA staff hires in HR Systems;
Reviews source documents, compares payroll transactions with weekly electronic attendance system (AESOP) documentation and payroll registers to ensure accuracy;
Identifies errors, researches cause and recommends solutions to the supervisor and ensures that errors are corrected;
Responds to a range of human resource related questions and requests for information.
Grade 12 education, payroll course work, plus three years directly related experience;
Knowledge of electronic HR data management systems (HRMIS), electronic attendance systems (AESOP) and financial systems, Microsoft Office XP, data bases and spreadsheets;
Knowledge of pay and benefit policies, procedures practices, legislation and regulations;
Knowledge of collective agreements, and HR policies, procedures and principles;
Knowledge of the basic accounting principles and practices, and financial policies, regulations and procedures;
Attention to detail and the ability to work with numbers;
Strong interpersonal communications skills (oral and written) and the ability to develop and maintain contact with staff at all levels with tact and courtesy.
