Responsibilities

  • Providing executive level support to the President & Vice President with administrative tasks
  • Project management – ensuring team members execute each of their responsibilities; organizing calendars, legal documents, and work back schedules
  • Handling administrative detail for residential development projects
  • Managing and reviewing corporate expenses
  • Producing Word documents, Excel spreadsheets and PowerPoint presentations

Communication

  • Compose correspondence/reports for own or manager’s signature
  • Arrange essential mail in priority action order for President
  • Check deadlines on incoming requests and put preliminary work in play
  • Process replies on own initiative or from bosses’ dictation or notes
  • Research, draft or abstract reports

Administrative Duties

  • Responsible for planning meetings, travel arrangements and calendar management
  • Supporting a number of senior managers with various tasks
  • Handle all inquiries within capacity
  • Arrange "call-backs" to protect President’s time and provide back-up materials for call-backs
  • Route calls elsewhere as needed
  • Maintain calendar; ascertain which events require President’s presence
  • Fix commitments to maximize President’s time efficiency
  • Arrange meeting rooms and prepare agenda for Presidents’ meetings in advance
  • Act as recording secretary; prepare action minutes
  • Arrange travel through internal or outside agents
  • Prepare itinerary, trip file and supplies

Appointments/Meetings

  • Maintain calendar; ascertain which events require President’s presence
  • Fix commitments to maximize President’s time efficiency; Allow decision/desk time
  • When President chairs meetings:

-Prepare agenda in advance
-Arrange meeting facilities
-Act as recording secretary; prepare action minutes
Confidentiality

  • Assure discreet handling of all business
  • Perform to earn President’s full confidence

Travel

  • Arrange travel through internal or outside agents
  • Prepare itinerary, trip file and supplies

Education and Experience

  • Experience in administration for Real Estate Development projects preferred
  • Approximately 2-3 years of experience preferred
  • Proficient computer skills and advanced level of proficiency with MS Office applications; Word, PowerPoint, Excel
  • Knowledge of standard office administrative practices and procedures
  • Bachelor’s degree is required
