Organization:
This position is part of an Investment Funds Advisor’s small team, affiliated with Dundee Private Investors Inc. The incumbent will work closely with the Investment Fund Advisor and Business Administrator. We take great pride in helping our clients realize their financial goals and life dreams. Our philosophy is based on understanding each client's personal situation and goals for financial security. We help our clients develop a realistic financial plan, and educate them on making informed financial decisions to become more tax efficient and to protect themselves and their loved ones through proper contingency planning.

Responsibilities:

General administrative tasks

  • Create and maintain client files
  • Maintain network folders, scan documents and file them in the proper electronic file
  • Manage client activity and update our CRM System on a daily basis
  • Prepare and complete forms as requested, before and after the meetings with clients
  • Request couriers as needed
  • Maintain office supplies
  • Identify opportunities to enhance existing processes

Client meetings

  • Schedule and confirm appointments
  • Work with various fund companies and insurance companies websites to obtain information, forms and reports
  • Prepare the consolidated statement for the client and confirm activity in each account
  • Print and prepare all paperwork (forms, applications) required for the meeting, as per the meeting agenda
  • Greet clients on arrival for meetings

Marketing

  • Update Advisor’s website
  • Email quarterly newsletters, birthday, congratulations, thank you cards, etc.
  • Mail out client copies and correspondence
  • Assist the Advisor to create marketing materials and presentations, update forms and templates
  • Organize and co-ordinate client events
  • Additional responsibilities as assigned (i.e. booking flight tickets for the Advisor)

Qualifications:

  • Relevant Post-secondary education with a strong preference for financial programs considered an asset
  • 2 years of experience in administrative roles, preferably in the financial services industry, or a strong desire to learn and work in the financial services industry
  • Must be proficient in Microsoft Office: Excel, Word, Outlook, Powerpoint and Adobe Acrobat
  • Knowledge of Dataphile, Paltrak, Morningstar and CRM’s considered an asset

  • Highly organized and efficient, able to prioritize and manage time in a dynamic environment
  • Excellent communication skills, both verbal and written
  • Good listener and fast learner, able to take direction and follow tasks through to completion
  • Proactive and positive with a good sense of humor
  • Able to work on several projects at the same time and meet deadlines under pressure
  • High level of professionalism
  • Discreet and respects confidentiality
  • Flexible and adaptable, able to work well autonomously and as part of a small team
