Dundee is looking to hire an Administrative Coordinator with a minimum of 1 (one) year experience for a one year contract opportunity:

  • Receive and maintain Tenant Insurance Certificates, HVAC and utility tracking reports;
  • Provide A/P assistance & support and back up in the entering of purchase orders and processing of payable invoices, and provide assistance for all accounts receivable;
  • Handle financial transactions, entering cash receipts and depositing cheques;
  • Daily Bank deposits, which requires use of the Company vehicle;
  • Monitor phones and front office; respond and route all incoming inquires;
  • Monitor Dundee Plus (Angus system) daily; ensure all tenant requests are responded to in a prompt and courteous manner; print reports as required;
  • Responsible for coordination of all incoming and outgoing post, inter office mail and couriers;
  • Maintain all necessary databases for portfolio, including tenants, contracts, service providers, and emergency contact information;
  • Type, proof read, and distribute correspondence with tenants and service providers;
  • Responsible for maintaining and replenishing office supplies and inventory;
  • Keep current office tenant and operations filing and file systems;
  • Administration of the fitness centre memberships (and access controls) for Scotia Centre;
  • Auxiliary support in the coordination of “Tenant Appreciation” events within the portfolio (ie. Tenant BBQ’s) and other events; and
  • Other Administrative tasks and special projects as assigned.

Qualifications:

  • High School Diploma & 1 year reception experience, accounts receivable, and accounts payable experience
  • Proficient in Microsoft Excel and Word, experience with JD Edwards would be an asset

Valid class 5 drivers license required
