The Business Assistant, Group Distribution provides secretarial, analytical and administrative support to specific members of the functional area. The incumbent is guided by defined procedural constraints and works under the moderate supervision of the Manager, Sales Operations.

Impact Statement

  • Provides analysis, management information and other research items as assigned
  • Provides administrative support to specific members of the functional area to assist in the achievement of goals, objectives, and efficient operations
  • Ensures the communication of information to relevant members of the organizational unit or within defined channels

Responsibilities include

  • Work with standard and complex spreadsheet, database, word processing, and presentation software packages
  • Assemble and analyze information from multiple sources, and prepares reports, agendas and correspondence
  • Process requests for promotional material and merchandise from regional sales offices and Head Office
  • Maintain calendars/daily schedules; coordinate internal and external meetings; coordinate travel and meeting arrangements
  • Develop and implement departmental filing and distribution system(s)
  • Screen mail and phone calls
  • Provide administrative support to members of the functional area
  • May administer, coordinate or support various programs and events

Knowledge / Experience / Certification

  • 3+ years experience as an Administrative/Executive Assistant
  • Knowledge of word processing, spreadsheet, database and presentation software
  • Experience in insurance/financial services or marketing area an asset
  • Experience with event planning an asset
  • Familiarity with group benefits

Education / Professional Courses

  • Completion of a community college diploma in a related discipline

Key Skills

  • Well-developed telephone skills
  • Clear writing, keyboarding, editing and proof-reading skills
  • Ability to conduct research and analysis
  • Ability to organize/schedule both people and information
  • Ability to use current business software
  • Financial analysis; trend analysis
