Position: Sales & Catering Coordinator
Reports to: Director of Sales & Marketing
Ensures the smooth operation and organization of the Sales and Catering Department by supporting the General Manager, Director of Sales and Marketing, Sales Managers and Conference Service Managers.
Contributes to the overall vision, mission, values, strategic goals, initiatives and objectives, approaching all activities by promoting excellence in all pursuits
Prepares proposals and contracts as required
Blocks space and provides follow up as required internally and externally.
General office administration to include filing, monitoring, and replacement of collateral, office supplies etc.
Assists with site visits, sales blitz, trade shows, and client relations.
Delivers all programs according to the Meeting Maestros requirements
and guarantees that encompasses the Hallmark Deliverables and Community Codes
Maintains updated files; prepares weekly activity reports
Is able to support the sales/conference service team, in their absence, by qualifying business, quoting rates within given parameters, creating a booking and issuing contracts
Special projects may include developing prospect lists, coordination of blitzes and client events as well as advertising and promotional collateral coordination.
Compiles and maintains database for promotional mailings.
Responds quickly to internal and external inquiries in a friendly and efficient manner.
Practices proper accounting procedures.
Maintains a professional image at all times through appearance and dress.
Understands, and abides by company policies and procedures.
Participates in regular sales meetings and takes and distributes minutes
Other duties as assigned by supervisor or management.
Note: Associate will abide by the specific performance standards for their department as communicated to them by their manager.
Education/ Experience: Post secondary educational in Hotel Management or Business Administration with minimum of two years related sales experience preferred.
Previous hotel experience ( either operational or administrative) an asset
Strong written and oral communication skills
Strong interpersonal and decision making skills
Planning and organization skills with attention to detail
Strong working knowledge of Microsoft Word/Excel and other software
Knowledge of a property management system such as Opera
Valid driver’s license and access to a vehicle if required.
Will be required to work some days, evenings, weekends and holidays
Will be required to work in fast paced, stressful environment.
