We are currently looking for a Marketing Assistant to join our Business Development and Marketing department and invite you to review the job description. The Marketing Assistant provides administrative support to team members located in Vancouver and in Toronto.
Duties & Responsibilities
Marketing & Communications
*Set up, formatting and distribution of bulletins, newsletters and announcements;
*Coordinate promotional items and gifts for sponsorships, events, and other client activities;
*Work with the Information & Digital Media Coordinator to implement and execute the firm’s web and social media strategy, including formatting, proofreading and checking facts pertaining to information that will be posted online (intranet and website);
*Support external website and intranet updates on an as-needed basis;
*Create and format marketing collateral and advertising materials, including, invitations for events and advertising that follow the Davis brand;
*Coordination of photography sessions, including cropping and uploading photos to the website.
CRM Database & Data Entry
*Update client and prospect practice mailing/newsletter lists;
*Proactively update the database by categorizing and filtering the existing database, importing and exporting lists, and maintaining the data quality of contacts;
*Administer data intake, edits, clean-up, duplication resolution, and update return mail contacts when necessary;
*Generate mailing/marketing lists and run reports and searches on an as needed basis;
*Meticulously research, correct and enter new contact data into database records;
*Continuously execute lawyer contact updates and edits;
*Manage bounced emails and update opt-in and opt-out contact information.
Business Development - Events and Sponsorship
*Assist the Event Coordinator as needed to coordinate events in Western Canada and provide general event management support;
*Assist with coordinating sponsorship recognition (i.e. program advertisements, booth placements, firm profile, signage, etc.);
*Assist the Competitive Intelligence Manager by using multiple research tools to monitor industries, practices, and companies, and provide news alerts to practice groups and individuals. Provide backup to others (or at times lead) specific research tasks.
The Marketing Assistant is also responsible for general administrative tasks in support of the department, including requisitioning cheques, tracking expenses for budgeting purposes, managing the firm’s marketing banners, printing and distributing marketing collateral, etc.
Knowledge, Qualities & Experience Required
*Minimum of 1-3 years’ experience in a Marketing Assistant or Administrative Assistant role in Marketing preferred;
*Formal education in Marketing preferred or an equivalent combination of education and experience;
*Graphic design experience (Adobe InDesign, Illustrator, and Photoshop) required, comfortable creating materials independently, and able to understand and follow the brand;
*French or Japanese language skills (written & verbal) an asset;
*Strong administrative skills and attention to detail, including having follow-up systems;
*Excellent organizational and time management abilities required to prioritize a high volume of tasks or competing priorities;
*Dedicated to providing service beyond expectation;
*Excellent communication and interpersonal skills;
*Proven problem-solving skills with the ability to visualize and deliver creative solutions; and
*Ability to manage multiple internal clients and be adaptable to the needs of each.
