  • Provide administrative support to Office Manager and Accountant
  • Perform basic bookkeeping functions – enter A/P & A/R into QuickBooks
  • Compile and review expense reports from Open Air from team members
  • Reconcile credit cards statements
  • Photocopy monthly expense receipts in preparation for invoicing
  • Order coffee and other kitchen items
  • Set-up/clean-up board room for meetings – lunch, snacks, etc.
  • Assist with office activities
  • Distribute all incoming mail
  • Update communication board
  • Weekly time entry follow up with team
  • Ensure invoices are approved for Accountant for payment
  • Banking
  • Maintain a high level of confidentiality in all interactions
  • Assist with report and presentation preparation
  • Maintain a professional image and demeanor with all employees, management, executives and visitors at all times
  • Research and compile budget of quotes for office equipment, furniture, etc.
  • Maintain and monitor office supply inventory levels and place orders as required
  • Prepare travel arrangements with a keen attention to detail, where necessary
  • Other duties, relevant to the position, shall be assigned as required
