*LOCATION: Fort McMurray
POSITION STATUS: Permanent, Fulltime
DEPARTMENT: Oil Sands*

Reporting functionally to the Contracts and Transactional Manger and operationally to the Site Superintendent the incumbent for this position would be responsible for the coordination for the Turnaround activities at the Syncrude Site. The services to be managed will include the arrangement for bussing, camp accommodation, manpower request to union hall, on-boarding, update Syncrude with manpower supply and ID requests

Key Responsibility Areas:

  • Updating manpower/line up lists to ensure that Supervision is properly informed of Syncrude’s requirements for each trade. Lists are continuously updated to reflect any changes
  • Place manpower requests to trade specific union halls as per the Supervisor’s request. Ensure that all information is filled out properly (ie. Job name, shifts (+), shift, orientation and start date information, A&D Information)
  • Place camp requests as dispatch slips are received from trade specific union halls. Ensure that all returning transferred workers have accommodations. Manage other camp issues that may arise
  • Reconciling camp rooms (ie. Ensure rooms are billed to the appropriate cost centres)
  • Daily Workforce compiled and send to Client and Supervision
  • Track worker schedules for Supervision
  • Site Access and Visitor Requests
  • Complete and send new hire packages to payroll
  • Room Bookings for orientations and various meetings
  • CDMS Set up of new hires (i.e. assigning skill and schedule daily)
  • Maintain eligibility listing for allowances
  • ID Terminations as per Layoff Requests
  • Camp Terminations as per ID Termination’s/Layoff Requests
  • Tracking and reporting as required (i.e Workforce Shortages, overages, composite crews, etc.)
  • General office duties; answering phones, checking and returning messages, scanning documents to and for Supervisors as well as filing
  • Other duties as required

Knowledge, Skills and Abilities:

  • Decision making, analytical and problem solving skills
  • Computer skills including the ability to use spreadsheet , word processing ,power point presentation programs at a highly proficient level
  • Detail-oriented
  • Superior communication skills with the ability to liaise with all levels of the organization
  • Ability to prioritize with strong multi-tasking abilities
  • Strong member of a team
  • Ability to work effectively under pressure and deadline restraints of different projects
  • Working cooperatively with other employees, customers, clients

Qualifications:

  • 2 years Office Administration certificate
  • 2-3years experience in an office environment or similar role
