The Role: Reporting to the Administration Co-ordinator, and as a member of the Administration team, this position provides administrative support to the Centre for Newcomers.
This is a regular full-time Maternity Leave position. The hours are 8:30 a.m. to 4:30 p.m. Monday-Friday.
Responsibilities include:
 Attend to clients and guests promptly, direct them to their scheduled appointments with the appropriate individuals and/or programs or services and operate switchboard to answer, screen and forward telephone calls.
 Maintain inventory of office supplies, brochures, publications and other communications and related materials
 Order office and kitchen supplies, store and organize them in the supplies’ cabinet
or distribute them to specific programs/individuals
 Handle/organize incoming and outgoing correspondence timely and efficiently
 Assist in events planning activities, document events and other related activities including but not limited to taking photos and videos
 Maintain, monitor and update administrative office forms and postings on the bulletin boards
 Assist in handling administrative tasks relating to files/records management
 Provide other administrative support tasks as may be assigned by the Admin Co-ordinator
Qualifications/Skills:
 Administrative training/office experience;
 Good interpersonal, organizational and communication skills
 Ability to multi-task, work with minimum supervision and seek out necessary information from a variety of sources
 Culturally competent: familiar with serving clients from other cultures than your own
 Excellent computer skills
 Good problem-solving skills; flexible; detail oriented
 Ability to use initiative and judgment within established guidelines and procedures
