RECEPTIONIST/ JR. ADMINSTRATIVE ASSISTANT
Canadian Oil Sands is seeking an exceptional Receptionist/Jr. Administrative Assistant to join our team. The suitable candidate for this role is an energetic, outgoing, detail-oriented individual with a minimum of 1 year experience as a receptionist, preferably in an oil and gas or professional services environment. This is a full time position based in Calgary, reporting to the Director, Human Resources and Community Investment.
RESPONSIBILITIES INCLUDE:
Reception
- Greeting clients and visitors;
- Answering and screening incoming calls;
- Handling, sorting and distributing mail;
- Typing correspondence, memorandums, and other documents;
- Ordering and tracking supplies for the office;
- Assisting in set up and clean up of boardrooms;
- Ensuring kitchen areas are stocked and tidy;
- Handling service calls related to office equipment;
- Completing expense reports;
- Handing all incoming and outgoing couriers; and
- Providing back-up support and general assistance to other administrative staff.
Administrative Support - Finance and Treasury groups
- Scheduling and managing calendars for the group in Outlook;
- Handing and sorting mail;
- Preparing expense reports;
- IT administration and preparing IT request/change forms;
- Ad hoc document processing; and
- Filing.
Administrative Support – Investor Relations
- Preparing expense reports;
- Responding to general queries from investors or directing queries to the appropriate individual;
- Updating database of investor and non-investor contacts;
- Assisting in assembling investor presentations; and
- Other general administrative responsibilities.
QUALIFICATIONS/COMPETENCIES:
- Professional and friendly demeanour;
- Dedicated team player;
- Intermediate knowledge of Microsoft Word, Excel, Power Point and Outlook;
- Attention to detail and accuracy;
- Strong organizational skills;
- Ability to meet tight deadlines and work independently;
- Exercises sound personal judgment; and
- Able to effectively prioritize workload.
