Position Title: Administrative Assistant, Surrogacy and Egg Donor Program
Status: Part-Time Hours with the potential for Full-Time Hours
Submission deadline: February 15, 2013

Primary Function:
The primary function of the Administrative Assistant is to provide administrative support to the Manager, Operations with managing the daily trust accounts, liaise with the intended parents (IP), egg donors and surrogates.

Position Responsibilities:

  • Manage Trust Accounts

o Daily maintenance of payments made into trust account by intended parents (IP)
o Daily maintenance of charges to Trust Visa
o Send Trust Account Statements on a monthly basis
o Provide reimbursements to surrogates
o Maintenance of Trust Account Balance
o Posting of all Trust Accounts Activity in QuickBooks

  • Liaise with IP, Egg Donors and Surrogates

o Respond to various inquiries
o Book travel arrangements as required

  • Maintain proper documentation relating to account administration
  • Maintaining donor anonymity and recipient confidentiality
  • Liaise with third parties (Lawyers and Fertility Clinics) to arrange payment from various IP Trust Accounts
  • Draft and send Clinical Referral Form, Clinic Match Sheets and Legal Referral Forms as required
  • Other general administrative duties


  • 1-2 years in an administrative support role
  • Secondary School completion. Post Secondary degree/diploma in a business related field would be an asset
  • Excellent interpersonal skills, verbal & written communication skills
  • Exceptional computer skills – MS Word, Excel, Outlook, PowerPoint, QuickBooks
  • Ability to work with minimal supervision, self- motivated with a positive attitude
  • Able to work under pressure and meet deadlines with frequent interruptions
  • Able to make and execute decisions or recommendations that contribute to the overall success of the programs
  • Skilled with requirements gathering and documentation with significant attention to detail
  • Must be a highly organized, self-motivated, goal oriented, individual with excellent people management and communication skills
  • Strong organizational skills are a must
  • Bilingual (French/English) an asset
