Office Coordinator, Calgary Office

PURPOSE OF THE POSITION

The Office Coordinator is responsible for providing admin and clerical support for the CIS Calgary Branch.

SCOPE

The Office Coordinator will report to the Head Office’s Senior Administrative Officer and is responsible for providing administrative and clerical services for the Calgary Branch Manager.

RESPONSIBILITIES

Provide administrative support in the following areas;

  • Prepare correspondence, reports and other documents as directed
  • Prepare Branch A/R invoices and PO’s for purchasing
  • Maintain and replenish inventory based on jobs acquired
  • Liaise with Branch Manager, Technicians, Customer’s to give ultimate internal and external customer service
  • Effectively respond to customer’s requests by email and phone
  • Manage technician time sheets and service calls
  • Greet and assist visitors
  • Answer phones
  • Maintain office files and supplies
  • Open and distribute the mail
  • Take minutes at Branch meetings
  • Coordinate repairs to office equipment
  • Perform other related duties as required

The incumbent must have proficient knowledge in the following areas:

  • Bookkeeping procedures
  • Ability to maintain a high level of accuracy and confidentiality,
