JOB TITLE: Finance Officer

POSITION TYPE: Full-Time, 37.5 hours/week

JOB SUMMARY
The Finance Officer will report to the Executive Director, for the financial administration of the organization which include, but not limited to Preparing financial statements, maintaining cash controls, preparing the payroll and personnel administration, purchasing, maintaining accounts payable and managing office operations.

The position requires the ability to manage a full set of books including budgeting and preparation for audits. The position will also be responsible for financial management of various accounts: Heritage Corp, restaurant, construction/renovation projects, student housing-leasing and collection of rents and telephone/internet rentals.

PRIMARY DUTIES AND RESPONSIBLITIES
Duties and responsibilities include, but are not limited to:

  • Assist with preparation of the budget
  • Implement financial policies and procedures
  • Establish and maintain cash controls
  • Establish, maintain and reconcile the general ledger
  • Monitor cash reserves and investments
  • Prepare and reconcile bank statements
  • Establish and maintain accounts
  • Process invoices
  • Ensure financial data is entered into the system appropriately
  • Issue cheques for all accounts due
  • Ensure security for all credit cards and verify charges
  • Ensure transactions are properly recorded and entered into the computerized accounting system
  • Prepare income statements
  • Prepare balance sheets
  • Prepare monthly financial statements
  • Prepare financial reports
  • Assist with the annual audit
  • Maintain the computerized accounting system
  • Maintain financial files and records
  • Ensure the safeguarding of all municipal funds
  • Reconcile the accounts payable
  • Prepare journal summaries
  • Reconcile the accounts receivable
  • Compile source documents
  • Issue receipts
  • Reconcile weekly deposits
  • Document new employees
  • Establish employee files in the computerized accounting system
  • Administer benefit entitlements
  • Verify and report on benefits payments
  • Maintain the leave management system
  • Verify annual leave records
  • Calculate and action deductions
  • Submit remittances
  • Prepare and issue T4 and T4A slips
  • Prepare WCB reports
  • Prepare separation documents for terminated employees
  • Maintain confidential employee files
  • Set up employee files
  • Verify and code timesheets and hours worked
  • Calculate employee salaries, deductions and contributions
  • Enter payroll information into the computerized accounting system
  • Calculate source and miscellaneous deductions
  • Process pay cheques
  • Update leave and lieu time
  • Prepare, review and file payroll summaries, journals and reports
  • Issue Records of Employment

ACADEMIC
Post-Secondary Education in Business, Accounting or related field or minimum of 3 years experience

REQUIREMENTS

  • Minimum 2 years experience with Quick Books or equivalent;
  • Training and/or experience in financial/records management.
  • computer skills including the ability to operate computerized accounting, spreadsheet and word processing programs at a highly proficient level
  • Familiarity and demonstrated proficiency in MS Office software programs (Word, Excel, Outlook, Access, etc.); Loan Management Systems and computerized databases.
  • Strong communication, leadership, problem solving, organizational and priorities/time management skills.
  • Self motivated and ability to accurately process data.
  • Experience and understanding of the Aboriginal community.
  • Property Leasing Experience and inventory management is an asset;
  • Valid Driver’s License and access to a vehicle.
