This Bayview/Eglinton Family Practice is a busy family medical practice with over 6000 patients, four family physicians and support staff.
This is a permanent full-time position. Under general supervision, the clinic manager provides day-to-day administrative and supervisory support in co ordination with the clinic practices for the effective and efficient operations. The position reports directly to the Physicians and/or appointed representative.
Summary of Duties and Responsibilities
1. Provides supervisory and administrative support by performing tasks such as:
Preparing schedules for clinic staff incl. scheduling vacation requests for staff and ensure there is adequate coverage and ensuring all changes in schedules given to the appropriate staff and doctor
Daily performance and/or supervisory processes – immediate HR issues
Assisting in the establishment\implementation of goals, objectives, policies, procedures and systems for the assigned administrative and operational areas – serving as the administrative clinic representative for the clinic
Planning and coordinating daily work assignments and operations
Ensuring the effective implementation and administration of HR processes
Resolving problems, both administrative and operational and ensuring compliance with regulations and standards
Assisting in the development\implementation of cost effective policies and procedures for all administrative and operational areas – incl. dealing with external suppliers/parties
Assisting with day to day accounting matters including reconciliations and the control all matters pertaining to Accounts Payable and Petty Cash
Working with medical staff to ensure quality patient care and services are provided
Gathering and reporting data for fiscal, statistical and analysis purposes
2. Assists with and / or performs clinic functions with respect to insurance/billing clerical duties, including review and verification of patient account information against MOHLTC files and EMR program specifications.
Resolves patient billing inquiries and problems, follow up on balances due physicians, insurance companies, and correspond with outside agencies ie. MOHLTC, insurance companies
Enters data electronically to process charges, payments, denials and adjustments.
Through communication with physicians and medical personnel, analyzes and codes procedures and diagnosis using MOHLTC billing codes.
Provides clerical assistance at the Clinic by performing tasks such as:
Opening and sorting mail, correspondence and faxes, reviewing for immediate action
Performs some receptionist duties by answering telephones in a polite, respectful and professional manner as denotes the clinic; booking appointments in the appropriate manner as described/discussed with doctors and/or representative; ensures that messages are dealt with in a timely manner and any updates or contacts are recorded in messages or in patient’s chart;
3. Assists with and/or performs clinic functions with respect to internal and external medical referrals to patients and doctors at the clinic by performing tasks such as:
Contacting various medical referral sites to coordinate procedures and / or appointments necessary for patients
Coordinating with patients their appointments and explanation of the process
Assists in providing documentation and follow up on all processes in patient charts
+ 2 years in working with health care administrative practices and processes
+ 2 years in working with computer systems, especially electronic medical records
General knowledge of accounting practices and procedures
Skill in planning, organizing, delegating and supervising
Skill in gathering and interpreting data
Skill in verbal and written communication
Skill in developing and maintaining effective working relationships with staff, patients, public and external agencies
Ability to take initiative and to exercise independent judgment, decision making and problem solving expertise

This position requires a minimum of 2 years previous related medical administration experience and successful completion of a Bachelor Degree in Health or Business Administration (Combination of related education and operational experience in a Primary Health Care field may be substituted.)
