BCCF is looking for an experienced Administrative Assistant to oversee the ongoing human resource needs of a major contract and to provide general office support while our current staff member is off on maternity leave.

The ideal candidate will have a background in the environmental sector as well as experience administering projects and addressing human resources issues in a competent and professional manner.

Work Term: ASAP until October 31, 2013

Pay Rate: $16/hour

Hours: 35 hours/week Monday to Friday

Job Description

The Administrative Assistant will be responsible for overseeing the staffing and budgeting requirements for a long-term, large-volume contract administered by BCCF.

Duties will include:

Reviewing potential candidate applications, assessing qualifications, and confirming eligibility
Assisting and tracking potential candidates through a federal security screening process
Entering, maintaining and utilising data in a database used to catalogue candidates
Receiving work descriptions supplied by the client and writing job postings
Posting jobs to the website and circulating to contacts as required
Reviewing applications and matching qualified candidates to specific postings
Assisting the client with the candidate-selection process
Hiring the successful candidate for the posting’s work term including: project start-up, budget set-up, performing new hire and safety orientations, providing Payroll and Finance Departments with all pertinent info
Tracking detailed budgets using Microsoft Excel and Access, ensuring all projects are completed within the terms of the contract
Processing bi-weekly timesheets for payroll
Processing expense claims for Accounts Payable
Producing monthly invoices, sending to client, following up on outdated AR
Providing employment information and support to applicable employees
Liasing with client contracting departnment to ensure contracts and rates remain current
Providing ongoing customer service for the client
Ensure all projects are audited and final reports issued upon completion
Complete quarterly financial reports for the client

Additional duties may include general support for the project managers working on other contracts, which may include, but are not limited to:

Assisting with scheduling interviews
Assisting with issuing and maintaining field equipment and safety supplies
Processing/coding accounts payable
General office duties

Essential Qualifications

(applicants may be tested on the following during the interview process):

Minimum two years related experience
Excellent verbal and written communication skills
Accurate and efficient math and computing skills
Competent working with all aspects of MSOffice, including MSAccess
Demonstrated ability to multi-task while simultaneously being highly organized
Demonstrated ability to work under time constraints while maintaining an exceptionally high level of accuracy
Must be willing and able to complete federal government reliability level security screening process

Preferred Qualifications

Post-secondary education in human resources/business administration or the environmental sciences
Understanding of basic accounting practices
Experience with ACCPACC software
Familiarity with project management (especially relating to budgeting and tracking expenditures)
Familiar with the logistical and employee needs for field-based project work
Ability to work on a variety of tasks both independently and as a supportive contributor to the team
