The purpose of the Administrative Assistant is to provide administrative support to the Regional Manager and to provide support to seasonal staff.
The primary responsibilities of the Administrative Assistant include, but not limited to:
Maintaining databases; using MS-Access
This includes but is not limited to:
-Entering new project information, which is provided by the Regional Manager, including project financial information, and employees/contractors. Required to enter any on-going changes to the project financial status
-Processing and completing forms for all new and returning employees and entering into the database.
-Completing bi-weekly payroll for contract staff
-Coding and processing AP forms for all staff expense claims and project related costs
-Updating project budget forms by committing expenditures and balancing budgets
-Maintain procedures for office computers/workstations
-Assist seasonal staff with computer issues
-Maintain seasonal staff email accounts
-Assist in job postings and hiring of seasonal staff
-Filing and auditing
-Performing other clerical duties as necessary.
-Assist with inventory of furniture, computers and equipment
-Maintain/ordering office supplies
-Good communication, organizational and interpersonal skills;
-Ability to handle multiple tasks simultaneously
-Ability to work on a variety of projects both independently and as part of a team;
-Ability to produce materials with a high degree of accuracy and attention to detail.
-Intermediate MS Word. MS Access and MS Excel skills;
-Excellent understanding and use of MS Outlook
-Ability to work with a diverse group of people in a tactful, diplomatic manner;
-Ability to prioritize and work well under pressure;
-Good problem solving skills.
Education/Work Experience requirements:
-Minimum 3 years direct job experience.
-Ability to maintain confidentiality.
