Position Summary:

The incumbent is responsible for the daily workload supervision, administration and processing of financial products, as well as any complex transactions in the department, in accordance with B2B Bank’s standards, policies, and procedures. The incumbent is also responsible for answering internal and external clients’ inquiries regarding the products administered within the department, providing a consistent level of superior customer service. The Bilingual Senior Administration Officer is responsible for investigating and resolving escalated issues or exceptions that arise from the work administered by the department. In addition, the incumbent may help the supervisor with quality assurance and metrics reporting tasks.


Creates and maintains the distributor agent data base: setting up new agents on all system platforms, sending welcome letter & new agent package, modifying non-financial data for new and existing agents.

Screens all Distributor applications for completeness, accuracy and ambiguity.

Downloads research and validates weekly commission reports, and processes any necessary adjustments.

Verifies information extracted from commission files.

Uploads commission files for the accounts payable department to produce commission cheques.

Prints monthly commission statements; matches cheques to statements and mails them out.

Researches and processes commission adjustment requests and advises agents of the outcome.

Produces reports for accounts; acts as liaison with the brokers for any discrepancies

Administers and processes product specific transactions, according to B2B Bank’s standards, policies, and procedures.

Maintains client files, ensures efficiency in retrieving documents, and archives closed files for easy accessibility.

Acts as an information and problem solving resource for Administration Officers.

Resolves issues with processing requests that are escalated from Customer Services and/or Administration Officers.

Researches, prepares, processes, balances, reconciles, and ensures quality control of all regular and complex financial and non-financial transactions for clients.

Researches and answers regular and complex inquires from internal and external clients, such as Customer Services or financial advisors, regarding the department’s products.

Maintains good working relationships with internal and external clients.

Escalates and makes recommendations to the appropriate authority about any inquiries or issues that are beyond their scope.

Verifies own work and the work of fellow Senior Administration Officers and Administrative Coordinator, in the department, for accuracy, clarity, and completeness, and ensures compliance with internal and external audit and regulatory requirements.

Completes daily workload within strict timeframes set by B2B Bank and addresses any issues with supervisor.

Participates in department meetings and contributes to the planning process of achieving departmental and personal goals, as well as communicates any problems or concerns.

Submits recommendations to improve work processes to the supervisor.

Keeps abreast of legislation, policies, and procedures, which relate to products and services.

Participates in special projects and carries out any other similar or general task at the request of their superior or that may be required by their function.


University Degree or College Diploma in Business Administration or in a related field

Completion of Investment Funds of Canada (IFIC) or Canadian Securities Course (CSC) is an asset.

2 to 3 years of work experience related to administration or processing with a financial institution.

Superior knowledge of banking, mortgage, investment loan, self-directed, securities, and other lending products.

Excellent attention to detail and accuracy.

35 to 40 words per minute typing/keyboarding speed; accuracy essential.

Good interpersonal and communications skills, both verbal and written.

Ability to share knowledge and experience with peers for mutually beneficial growth and learning.

Excellent customer service skills with the ability to communicate information effectively.

Able to work in a high volume environment with an extremely demanding time frames.

Strong organizational, time-management, and multitasking skills.

Highly motivated with a desire to succeed and progress.

Ability to work effectively with others as part of a team.

Must possess intermediate to advanced skills in MS Excel.

Computer literacy in Microsoft Office (Word, Excel and PowerPoint) and Outlook a must; Experience with MS Access a strong asset.

Familiarity with using large and complex financial database systems; ability to learn inquiry functions in back office processing systems.

Bilingual (French/English) verbal and written communication skills are required.
