BILINGUAL (ENGLISH & FRENCH) EXECUTIVE ASSISTANT

The Bilingual (English/French) Executive Assistant is responsible for providing administrative support to the Vice President & CFO. The successful candidate will have previous experience in an Executive Assistant capacity supporting senior executives.

Responsibilities include:

Acts as the first-point-of-contact, and assess and address the importance and urgency of situations, or alerts the Vice President as appropriate.

Manages the Vice President's calendar, coordinates meetings, conference calls, travel arrangements, and special events.

Prepares the Vice President for meetings including compiling information and debriefing the Executive on pertinent information.

Proactively prepares time-sensitive, confidential materials e.g. meeting agendas, reports, spreadsheets, documents and correspondence, using PowerPoint, Word & Excel.

Drafting of correspondence with limited verbal or written instruction.

Set up and manage filing of documents.

Monitors operational budget, manages expense accounts and ensures invoices are tracked accurately and paid on a timely basis.

Liaise with direct reports, cross-functional areas and external partners to conduct business in an efficient and effective manner

Participates in special projects and handle other administrative office duties.

Qualifications:

Post-secondary degree or diploma, combined with a minimum of 5 years administrative experience supporting a Senior Executive with an ever-changing schedule.

Bilingual (French/English) verbal and written communication skills are required for the role.

Experience working in a fast-paced environment with multiple priorities.

Advanced Level PC skills (MS Office: Excel, Word, Powerpoint).

Experience analyzing metrics and preparing reports.

Well-organized, able to manage time and multi-task to accomplish a multitude of tasks, with conflicting priorities and timelines.

Effective interpersonal and customer service skills with the ability to interact with individuals at all levels.
