POSITION TITLE: HVAC Office Administrator
DEPARTMENT: Administration/Accounting

The primary responsibility of this position is to administer the day to day activities of the business. This includes but is not limited to: Schedule meetings and dispatch all outside work provided by the HVAC Technicians and Service work performed by the BAS technicians, perform payroll duties, review service sheets and prepare invoices, order material and manage material deliveries. Follow up on A/R accounts, perform HR and H&S duties, and monitor company compliance to WSIB, TSSA and ESA standards.


Day to Day Activities
- Customer Service – answering phones, handling customer requests for service
- Scheduling / Dispatching Service Techs
- Processing of payroll
- Creation of workorders
- Maintenance of service PM Contracts and Renewals
- Invoicing & Accounts Receivable
- Purchasing and Accounts Payable
- Shipping and Receiving and Material Management
- Split HR duties
- Access and review BAS websites to help with customer concerns
- Human Resources duties and assist with Health & Safety, TSSA Requirements/ESA Requirements

Long Term and On going
- Manage inventory
- Vehicle Maintenance
- Office/Shop Maintenance

The Ideal Candidate would have:
1 – Familiarity and experience working with Jonas Software System and/or similar accounting & project management software.
2 – Experience with Microsoft Excel, Word
3 – Previous HVAC office experience
4 – Ability to multi task and self-supervise.

Hours of Work:
You shall work such hours as may be necessary for the proper performance of your duties, but in any case shall attend to Company business throughout normal working hours for 80 hours per pay period Monday to Friday, 8:00 a.m. to 4:30 p.m
