The Operations Administrator is responsible for the maintenance of accounts receivable and payable including account invoicing, reporting, reconciliation, data entry and other related tasks as required.
Duties and Responsibilities
Create adjustment transactions in inventory program for received job sheets.
Ensure accuracy on transformer jobs for any discrepancies.
Ensure all incoming and outgoing PCB sheets and daily activities are accurately tracked and recorded.
Train applicable operations staff for all paperwork involved in ballast sorting and on-site transformer drains.
Work closely with Operations staff regarding transformer tracking and all associated paperwork.
Assist in ensuring facility supplies are stocked efficiently; incoming and outgoing supply tracking.
Accurately enter and track weights for job sheets received.
Process, track and report incoming and outgoing Certificates of Destruction to Environment Canada.
Accurately track client waste reports.
Ensure applicable data is scanned, tracked, up-to-date and filed appropriately for daily and weekly facility reports.
Ensure barcodes are correctly printed and passed on to the appropriate individual and data is entered accurately.
Accurately track daily and weekly Aevitas Inc. incoming and outgoing hazardous waste.
File inventory activities and shipments on a monthly basis.
Complete month end inventory reports.
Assist in the training for all administration barcode and inventory data entry, checking for accuracy.
Assist in monthly and annual incoming and outgoing PCB tracking for applicable Government reports.
Assist in compiling quarterly inventory reports.
Assist sales department with drop-offs when needed.
Answer phones and greet visitors
Receive and distribute mail
Process and send outgoing mail
Receive office supply orders
Review, sort and distribute incoming faxes
Other related duties as requested
Two to three years of warehouse experience preferred
Working knowledge of MTS software and Ariba invoicing
Working knowledge of MS Office and internet applications
Exposure to changes in temperature and humidity
Exposure to moderate noise levels
