Position: Payroll Coordinator ( **Must have CPP or CPM**)

POSITION SUMMARY:

The Payroll Coordinator will work under the direction of the Payroll Manager and be responsible for producing full-cycle payroll processing.

KEY ACCOUNTABILITIES:

  • Produce timely and accurate bi-weekly complex payroll for 5 companies (which includes 1800 salaried and hourly employees through two company codes and two different pay period ending dates, holding 9 different CRA business numbers in three provinces)
  • Prepare and run the interface process for data transfer between PeopleSoft HRMS and Pay-At-Work
  • Balance all earnings codes and headcount prior to payroll transmission each bi-weekly cycle, to ensure that all payments are accounted for (6 different reports are used to complete this task on a bi-weekly basis for two company codes)
  • Maintain the integrity of payroll records for accurate tax forms production by analyzing each request and performing the appropriate adjustment(s) required
  • Examine, investigate and follow up on requests received for accurate payment and reporting, and resolve any related discrepancies or issues
  • Verify all payroll data entry for accurate and desired end results for each pay; follow up on outstanding issues and/or missing documents
  • Secure the compliance with Federal and Provincial laws and legislations, company policy, internal and external audits as well as SOX; ensure that all requests for payments and changes are approved by the appropriate level for audit compliance

Process and update all taxable benefits for compliance purposes and year-end tax forms production; maintain running totals to reconcile prior to tax forms production

  • Create multi-currency journal entries for accurate financial reporting and reconciliations, prepare and book journal entries for 5 companies, and maintain account integrity and execute reclassification adjustments as needed
  • Prepare involuntary termination pay, perform manual calculation when required, and prepare accurate ROE using ROE web
  • Create reports and provide stakeholders with required data for various reasons, using financial reports and report writer tools
  • Assist during audit and year-end
  • Respond to employee queries and questions, handle government agency questions and resolve any issues resulting from these interactions
  • Assist business partners with payroll-related issues, and help provide guidance for other departments to understand some payroll-related aspects

QUALIFICATIONS / SKILLS REQUIRED:

  • 3-5 years of full-cycle payroll processing including full cycle payroll processing, payroll journal entries and accounts reconciliations
  • College certificate/diploma as a Certified Payroll Manager Practitioner (CPM) is a must
  • Experience with ADP Pay@Work, MS Outlook and PeopleSoft (preferred, though other HRIS systems will be considered), general financial reports and ADP Report Writer
  • Must have experience liaising with external vendors (insurance providers, audit teams, government agencies, etc.)
  • Certified Payroll Practitioner or Certified Payroll Manager
  • Experience managing complex (multi-numbers) payroll
  • Experience with US and Canadian payroll
  • Strong verbal and written communication skills
  • Strong relationship and rapport-building skills
