ASI Group Ltd. has an opening for a full-time professional and experienced Receptionist/Executive Assistant. The ideal candidate has two to three years of experience providing professional and friendly support in a similar position. Reception duties include answering and filtering calls, data entry, filing, and other front desk support as required. Executive Assistant duties include managing the business affairs of the President (coordinating travel arrangements, meetings, etc.).

Brief Job Description

  • Answer telephone, screen and direct calls
  • Greet visitors and direct them within the office as necessary
  • Prepare brief correspondence and documents
  • Administer/manage office telephone and voicemail system
  • Pick up mail and perform banking activities/errands on a daily basis (personal vehicle required)
  • Sort and distribute mail/deliveries
  • Prepare courier shipments
  • Organize conference and meeting room bookings
  • Co-ordinate meetings and organize catering
  • Contact landlord for property and building concerns/service/repairs
  • Assist accounting staff as required
  • Daily accounts payable data entry and filing of suppliers’ invoices
  • Operate, monitor and maintain office equipment
  • Tidy and maintain the reception area
  • Purchase and maintain sufficient inventory of office, kitchen, boardroom and cleaning supplies.
  • Tidy and maintain kitchen, boardroom and meeting room; keep stocked with appropriate supplies on a daily basis
  • Manage travel arrangements for the President (book flights, hotels, car rentals, etc.)
  • Assist President with coordinating schedules, book and organize meetings, etc.

Experience and Qualifications

  • Two to three years of experience in a reception/clerical position
  • Class G driver’s license and use of personal vehicle
  • Competent user of computers and relevant software application (Windows, Word, Excel, Outlook, internet)
