We are currently recruiting for an:

Customer Service/Shipping Clerk (O3)

Location: Tribology Division, Edmonton

Reports to: Laboratory Manager

Shift: Monday to Friday 8:00am till 4:00pm

General Accountability:
This position is primarily responsible for the shipping and receiving of samples and laboratory supplies with a strong emphasis on customer service. The successful candidate will be able to direct incoming client calls, complete general administrative office functions and work closely with ALS employees, acting as a liaison between ALS and our clients.

Specific Responsibilities:
 Process all phone, fax, mail, e-mail, drop ship and verbal orders from customers;
 Perform data entry for purposes such as processing orders, accessing previous orders and special orders;
 Provide customers with current prices; research any other inquiries as requested;
 Assist with customer problems such as missed shipments, backorders, etc. and continually strives for prompt resolution;
 Coordinate with laboratory associates, customers and business development associates to ensure that the order process runs smoothly;
 Package and ship samples using appropriate couriers and procedures;
 Daily interaction with ALS clients both on the phone and in person;
 Answer incoming technical queries;
 Ensure adherence to all procedures and policies (safety, quality, employment and technical);
 Responds to common inquiries or complaints from customers, regulatory agencies, or members of the business community;
 Open or close front office – switch over phones, unlock/lock door, open meeting rooms, etc.;
 Greet & Check-in visitors;
 Manage switchboard duties – answer phones, relay messages;
 Send/receive faxes;
 Incoming mail – date, sort and distribute daily;
 Outgoing mail - Print, fold, and post reports and invoices;
 Maintain fax, copy and mail machines;
 Assists Business Development with administrative tasks such as coordinating special orders, preparing and sending quotes, typing correspondence and preparing marketing materials;
 Use correct methods in accordance with the established procedures and schedules while ensuring analytical quality;
 Observe established safety regulations and comply with all ALS health and safety policies and procedures;
 Other duties as assigned by manager.

Required Knowledge, Skills & Abilities:
 Strong customer service focus, interpersonal and organizational abilities;
 Strong time management skills;
 Must have good computer skills, including Microsoft Office products, LIMS, and Internet based reference libraries;
 Hands-on experience with computer data entry;
 Ability to remain calm and pleasant under pressure;
 Very organized with proven ability to work to deadlines;
 Able to work with minimal supervision independently as well as part of a team;
 Effective Communication with Managers and laboratory staff is crucial;
 Knowledge of all ALS literature including price lists, statement of qualifications, one pagers, and newsletter;
 Familiarity with all ALS location turnaround times (TATs);
 Customer service is key especially working with clients and couriers.

Required Qualifications:
 Completion of Grade 12 and previous experience preferred;
 Experience with multiple phone lines an asset (full training will be provided);
 Attention to detail and good communication skills;
 High energy level, confidence and ability to thrive in a fast paced environment;
 Minimum 2 years’ experience in customer service (preferably in a business-to-business environment);
 Strong commitment to quality and integrity.

Physical Demands:
 Ability to lift 50 pounds on a regular basis;
 Ability to stand or sit for a full shift;
 Ability to bend, push and pull, work over head, climb ladders;
 Manual dexterity to do repetitive tasks such as data entry.
