Front Office Administrator (O4)
Location: ALS Environmental – Grande Prairie, AB
Reports to: Laboratory Supervisor or Team Leader
Shift: Monday to Friday 8:00 am to 4:00 pm Extended, evening or weekend shifts as
required depending on business needs.
About the Position
This position is responsible for overseeing all administrative and reception functions of the front office, including but not limited to: operating a multi-line switchboard, directing calls, tracking messages, responding to client inquires, processing, mailing and filing of all final client reports.
This position is also responsible for all sample login activities at the laboratory. The priority for this position will be to receive and organize samples, verify client information, and enter the pertinent information into the laboratory data systems. This position will also be responsible for shipping receiving supplies and various administrative duties such as filling bottle orders

and sample receipt and login.
Specific Responsibilities
Oversee and perform Front Office administrative duties as required:

  • Collate, address, and mail all finalized Reports and Invoices;
  • Process a variety of paperwork;
  • Responsible for ensuring the copy machine and cabinets are stocked at all times with paper;
  • Order office supplies and maintain inventory of office supplies;
  • Maintain fax, copy, and mailing machines;
  • Ensure all required filling/scanning is carried out in a timely manner;
  • Perform other administrative duties or special projects as assigned.
  • Unpack, sort, and layout samples for inspection and labelling;
  • Login samples by scanning and inputting data into LIMS to initiate the sample management process;
  • Prepare bottle orders and sample preservatives for packing and shipping;
  • Communicate with clients for information to ensure the correct services are delivered;
  • Clean and prepare lab ware;
  • Organize workload to meet turnaround times (TATs);
  • Prepare samples for shipment and complete waybills;
  • Maintain a clean, safe, and organized work environment;
  • Use correct methods in accordance with the established procedures and schedules while ensuring analytical quality;
  • Observe established safety regulations and comply with all ALS health and safety policies and procedures;
  • Other duties as assigned by Supervisor.

Oversee & perform reception duties as required:

  • Operate multi-line switchboard, directing calls and taking messages when necessary;
  • Greet all internal and external customers courteously, determine their needs, and direct them to the proper person;
  • Check-in visitors and issue them a visitor’s badge and safety glasses;
  • Send/receive faxes;
  • Review planner for any absences and notify all staff on a daily basis;
  • Assist with filing/scanning of final reports;
  • Use correct methods in accordance with the established procedures and schedules while ensuring analytical quality;
  • Observe established safety regulations and comply with all ALS health and safety policies and procedures;
  • Perform other duties or special projects as assigned.

Physical Demands

  • Ability to stand, walk or sit for an extended period of time;
  • Finger dexterity required to manipulate objects with fingers (ex. using a keyboard).

About you
The ideal candidate would have:

  • Completion of Grade 12;
  • Minimum of 2 years office related experience;
  • Completion of an office administration certificate or diploma preferred.

You would also have:

  • Strong customer service focus, interpersonal and organizational abilities;
  • Pleasant and professional telephone manner;
  • Excellent English communication skills, written and verbal;
  • Excellent computer skills in MS Word & Excel.
