Business Administrator/Client Services Supervisor

Location: ALS Environmental – Grande Prairie, AB
Reports to: Laboratory Supervisor
About the Position
The Business Administrator is responsible for managing the administrative support and client services team within the laboratory location. This position is also responsible for all client service areas within the facility including; Account Managers, Sample Manage (Sample Receipt, Login & Shipping and Office Services). This is a key position that assists the Laboratory Supervisor in the overall operation of the location with respect to health, safety, quality, client service and laboratory production.

Specific Responsibilities: Business Administrator

  • Coordinate all inter-company and client e-mail, e-mail distribution;
  • Organize and maintain petty cash including reimbursements and replenishment;
  • Manage local purchasing and order of supplies and inventory for both the laboratory and facility including approval of purchase MEOL requests;
  • Oversee all receiving and associated documentation and recordkeeping such as waybills, invoices, packing slips;
  • Ensures that all Standard Operating Procedures are adhered to;
  • Provide orientation and coordinate general training for all staff;
  • Assist with recruitment and training of laboratory staff as required;
  • Under the direction of the Laboratory Supervisor, carry out schedules, shifts and manage time keeping for staff;
  • Organize and maintain all document and electronic archive systems;
  • Prepare monthly and weekly reports and projections, carry out performance tracking; and key metric indicators;
  • Assist in the preparation of capital expenditure proposals, budgets, and business plans;
  • Assist the Laboratory Supervisor in the oversight and management of the HSE and Quality Systems;
  • Lead and organize staff and company functions, meetings, and announcements;
  • Assist in any human resource administration functions;
  • Direct the work of any office staff;
  • Oversee any facility; contractor; repair services and communication with suppliers, landlords, etc.
  • Oversee the maintenance and use of all support office equipment.
  • Assist with any communication and request from other ALS entities and support such as Finance, HR, HSE, purchasing, etc.
  • Assist with any marketing and promotion initiatives;
  • Use correct methods in accordance with the established procedures and schedules while ensuring analytical quality;
  • Observe established safety regulations and comply with all ALS health and safety policies and procedures;
  • Other duties as assigned.

Specific Responsibilities: Client Services Supervisor

  • Responsible for ensuring that client service provided is consistent and of high quality;
  • Provide direct supervision of all Client Services Staff (including training, mentoring, performance management, career development, recruitment, induction etc.); as well as assignment of duties;
  • May act as account manager directly for some client accounts;
  • Implement corporate Client Service strategies;
  • Ensure coordination of new clients from sales;
  • Lead client visits to ensure face to face support and communication to assist sales in identifying business opportunities (estimated up to 25% of time);
  • Preparation of client quotations/proposal;
  • Assistance with client issue resolution and signoff;
  • Coordinate and participate in client visits as well as participate in industry events and organizations on behalf of ALS;
  • Ensures that bottle shipments, samples and login of work orders are entered accurately and in a timely manner;
  • Oversee all intercompany liaison between receiving and processing laboratories;
  • Oversee and directly manage client enquiries within the account management team;
  • Oversee contact the client regarding missing, incomplete or ambiguous sample processing instructions; accomplishes this by close liaison with layout personnel, work order entry, and client services groups;
  • Maintains close liaison with supervisors and other lab staff to ensure the smooth delivery of our services to clients;
  • Reception duties such as greeting customers in person and on the phones in a courteous and positive manner.
  • Ensures that all Standard Operating Procedures are adhered to;
  • Under supervisors’ direction help investigate client enquiries and complaints related to quality issues and suggest proactive actions;
  • Observe established safety regulations and comply with all ALS health and safety policies and procedures;
  • Other duties as assigned by the Laboratory Supervisor.

Physical Demands

  • Ability to sit and/or stand for long periods of time;
  • Manual dexterity to do repetitive tasks such as data entry;
  • Ability to drive and travel to visit local clients on a regular basis (up to 25% of the time);
  • Ability to travel (within province) occasionally (up to 5% of time).

About you
The ideal candidate would have:

  • Completion of Post-secondary education (degree, certificate or diploma);
  • Minimum 2 years work experience in an environmental laboratory setting preferred;
  • Minimum 1 year leadership or supervision experience;
  • Current valid class 5 Drivers licence;
  • Clean driver’s abstract with no more than two minor convictions, no major convictions and no more than six demerits in the last three years.

You would also be:

  • Strong interpersonal, leadership and organizational and communication skills
  • Experience in training staff an asset;
  • Familiarity with Laboratory Information System is preferred.
  • Strong Microsoft Office Suite skills;
  • Excellent English communication skills both written and verbal;
  • Strong customer service focus, interpersonal and organizational abilities;
  • Highly motivated and able to work as part of the team;
  • Detail oriented;
  • Quality focused individual.
