Position Title: Payroll/ AR & AP Administrator Reports To: Vice President, Finance

Summary Overview:
The Payroll/ AR&AP Administrator is responsible to ensure proper processing of payroll semi-monthly while providing additional support to the Accounts Payable and Account Receivable functions.

Primary Accountabilities & Result Areas:
1.Payroll administration including semimonthly processing, ensuring cost allocations, coordination of additions and terminations, vacation tracking and auditing and reconciliations.
2.Accounts payable and receivable functions including coding, posting, vendor payments, expense reconciliation, invoicing, credit releases and processing payments.
3.Minimal benefit program maintenance

Typical Duties, Actions and Responsibilities:

  • Semi Monthly payroll processing for hourly and salary employees
  • Coordinating payroll submission to external payroll provider
  • Monitor regular time, attendance, sick time and vacation time
  • Ensuring accuracy of the payroll cost allocations
  • Entry of new payroll additions, issuing final pay, processing ROE’s while working with Human Resource department
  • Coordination with Finance department to record payroll expenses as well as updating vacation balances and liabilities
  • Data entry and removal of employee information into benefits system
  • Matching vendor invoices with purchase orders
  • Code vendor invoices with GL accounts
  • Posting of vendor invoices into the AP sub ledger
  • Vendor payments via EFT, cheques, wires, etc
  • Reconcile credit card statements and expenses
  • Process daily customer invoices
  • Distribution of customer invoices via mail, email, customers portals, EDI, etc
  • Apply payments to receivables
  • Process credit memos for approved customer returns
  • Process credit release requests
  • Customer file maintenance
  • Completing inquires to resolve overdue invoices

Experience Qualifications and Related Skills:

  • 3-5 year’s experience in a payroll position with an accounting administration background focused on Accounts Payable and Accounts Receivable
  • Member of the Canadian Payroll Association
  • Experience with payroll administrator for 200+ employees
  • Proficient with Microsoft Office Suite
  • Strong attention to detail

Education Qualifications:

  • Post-secondary education would be considered an asset
  • Payroll Compliance Practitioner designation would be considered an asset
