The role of the Office Assistant is to assist Patient Care Coordinator in coordinating care to patients. They will perform clinical administrative duties such as reception, scheduling, screening and assisting patients to ensure correct and appropriate information is either acquired or provided. The Office Assistant will support the efficient and effective flow of information to patients and the Patient Care Coordinator.

Duties and Responsibilities:

  • Contact wait listed patients to keep the list up to date
  • Preparing clinic charts and ensuring filing of all needed documents is up to date (paper or EMR charts)
  • Give and collect research questionnaires
  • Prepare operating room packages for clients
  • Prepare Patient Information Packages
  • Back up for all clinic staff (reception, phones, scanning to EMR, etc)
  • EMR documentation

o Filing/tagging and sending letters and reports
o Maintaining telephone log
o Updating wait lists

  • Provide secretarial support to the surgeons
  • Thorough understanding of Patient Registration, Patient Appointment Scheduling, Electronic Patient Records, Electronic Medical Record, Outlook, Word
  • Other support as designated by Patient Care Coordinator

Qualifications and Requirements:

  • 1 or more years’ experience in a medical administration role
  • Post-secondary training in medical office administration or equivalent education and experience
  • Good organizational and time management skills
  • Excellent office equipment skills including electronic medical records, MS outlook, Word and others
  • Ability to maintain patient confidentiality
