This position is responsible for overseeing the entire administrative functions of the office; including: maintaining bookkeeping, office records/archives, issuing quotes to customers, and handling reception in a kind and curteous manner. The ideal candidate will be customer service driven, with the ability to learn quickly and actively seek ways to support the staff.

Essential Duties:

-Manage all administrative functions of the office
-Issue quotes and conduct follow up with vendors and customers
-Provide continuous sales support to the outside sales representatives
-Manage and keep track of all open orders and outstanding parts out for repair
-Responsible for accounts receivable and ensuring accounts are up to date
-Answer the phones in a friendly manner and provide exceptional service
-Perform other related office duties and projects as assigned

Requirements:

-Completed degree or diploma in Business or related discipline a must
-Minimum 3 years of office experience, and minimum 1 year of bookkeeping
-Strong knowledge of accounts receivable functions required
-Customer service oriented with a strong sense of urgency to get tasks done
-Previous experience in quoting and issuing purchase orders a must
-Excellent organizational skills and ability to multi-task and prioritize
-Must have impeccable attention to detail and accuracy
-Ability to meet multiple competing deadlines and work under pressure
-Excellent interpersonal skills and phone mannerisms
-Team oriented and positive attitude a must
-Must have a valid G class driver’s license and own vehicle
