Full job description

Education: Bachelor's degree in Computer Science, Information Technology, Business, or related field

Experience: 3 years or more in IT project coordination or similar role or equivalent experience (diploma + additional experience considered)

Asset languages: English (required); knowledge of Mandarin, Cantonese, or French is an asset for client communication

Work site environment: Technology / IT services (hybrid office and remote)

Tasks

  • Coordinate IT project timelines, deliverables, and resources across multiple client implementations
  • Track project budgets, flag cost overruns, and assist with invoice processing
  • Schedule and facilitate client meetings, internal stand-ups, and stakeholder reviews
  • Prepare and maintain project documentation (charters, status reports, risk registers, change orders)
  • Use project management software (Jira, Asana, Trello, or ClickUp) to assign tasks and monitor progress
  • Communicate with clients to gather requirements and provide project updates
  • Escalate risks and issues to the Project Manager in a timely manner
  • Assist with software deployment logistics (user access, credential management, UAT coordination)
  • Maintain client relationships after project go-live to ensure satisfaction and identify upsell opportunities
  • Train end-users on new software or systems as needed
  • Resolve product and service related problems by coordinating between technical teams and clients
  • Supervise the activities of 1-2 junior project coordinators or interns

Computer and technology knowledge

  • Jira, Asana, Trello, or ClickUp (project management tools)
  • Microsoft Office (Excel, Outlook, Teams, PowerPoint, Word)
  • Google Workspace (Docs, Sheets, Drive, Calendar)
  • CRM software (Salesforce, HubSpot, or Zoho)
  • Basic understanding of SDLC and Agile methodologies (Scrum, Kanban)
  • Remote collaboration tools (Zoom, Slack, Microsoft Teams)

Project coordination experience in (any of the following is an asset):

  • Software implementation or SaaS deployment
  • IT infrastructure or cloud migration projects
  • Managed services or IT consulting
  • Telecommunications or network deployment
