Governance and Development Coordinator

First Peoples’ Cultural Foundation

The First Peoples’ Cultural Foundation (FPCF) is seeking a Governance and Development Coordinator to play a key role within the Foundation, reporting to the Executive Director (ED) or designate. This position plans, coordinates and delivers governance and executive support functions, including board administration, communications support and fund development activities. The Coordinator provides administrative and strategic support to the Executive Director, Board of Directors and staff, ensuring effective governance practices while furthering communications and revenue development initiatives.

Who We Are

FPCF is an Indigenous-led organization that was established in 2000 to uplift the vitality of B.C. First Nations languages, arts and cultural heritage. The Foundation is a registered not-for-profit and charity. The Foundation provides financial support directly to Indigenous communities and projects, including FirstVoices and the First Peoples’ Cultural Council.

What You Will Do

Executive Director and Administrative Support:

  • Anticipates needs and helps prepare for meetings, events and deadlines.
  • Maintains the governance and policy manual, including implementing a structured review schedule in alignment with priorities set by the Executive Director and Board.
  • Maintains a centralized calendar for major reports and submissions to the Board, government departments, and funders; proactively coordinates information gathering to ensure deadlines are met.
  • Coordinates the development and flow of organizational materials, including briefing notes, proposals, reports, board submissions, and correspondence.
  • Analyzes and synthesizes complex documents such as reports, proposals, and external materials into concise summaries.
  • Prepares tailored briefings and background materials as required.
  • Works with the ED to improve organizational processes and procedures, including management of the organizational calendar.
  • Drafts routine correspondence independently.
  • Demonstrates professionalism and diplomacy in interactions with internal and external contacts.
  • Assists with other strategic initiatives as assigned.

Governance Coordination and Board Support:

  • Provides comprehensive administrative support to the Board of Directors.
  • Maintains, plans and coordinates the Board meeting schedule and planning calendar, and events, such as the Annual General Meeting.
  • Prepares and timely distribution of all required governance documentation, including:
  • Agendas, meeting packages, and materials
  • Minutes and resolutions
  • Statutory filings
  • Records and distributes accurate minutes for Board meetings and AGMs, in accordance with established standards.
  • Maintains current contact records for the Board and committee members, including appointment dates, terms, and biographies.
  • Maintains securely stores the Board’s Minute Book and other legal documents.
  • Maintains detailed knowledge of the governance processes, bylaws, the Societies Act, Canada Revenue Agency and other regulations including the protocols of the Foundation.
  • Attends Board and other meetings to take minutes, as assigned.
  • Coordinates travel and accommodation for the Board as needed.
  • Drafts required correspondence for Board Chair signature.
  • Supports board recruitment and onboarding.

Development and Communications Coordination:

  • Performs fund development and communications tasks aligned with the Foundation goals.
  • Maintain the donor databases, ensuring accurate records of donations and fundraising metrics.
  • Supports the development and tracking of fundraising campaigns, grant applications and donor stewardship activities.
  • Conducts research and assists with project and event coordination.
  • Supports the development of donor communications, reports and acknowledgments.
  • Develops content for emails, newsletters, and social media as assigned.
  • Performs other duties as assigned.

What You Will Bring

Grade 12 supplemented by at least two years’ post-secondary education in business, office management or related field, or an equivalent combination of education, training or experience.

Minimum of 2 to 3 years’ experience in a senior administrative role. Experience in not-for-profit governance and fundraising is considered an asset.

An acceptable combination of equivalent education, training, or experience in related fields may be acceptable.

Required Skills and Abilities to Help You Succeed:

  • Typing speed of at least 60 wpm.
  • Proficiency with the Microsoft Office Suite, including Word, Excel, PowerPoint and Outlook.
  • Strong verbal and written communication skills, including preparation of executive presentations, briefing notes, submissions, and reports.
  • Demonstrated tact, discretion and sound judgment in interpersonal relationships.
  • Demonstrated ability to manage competing priorities and meet deadlines in a fast-paced environment.
  • Demonstrated ability to convey, interpret and present data and information to senior managers and executives.
  • Experience working with sensitive and confidential information.
  • Strong interpersonal and professional communication skills to effectively represent the Executive Director and the Board.
  • High-level of attention to detail and sound decision-making abilities to respond to high-pressure situations.
  • Excellent organizational and time management skills to plan, manage, and coordinate executive and organizational priorities.

Working Conditions

Most work is performed from a home office. Must reside within easy commuting distance of the Foundation’s workspace, which is shared with the First Peoples’ Cultural Council, on the beautiful traditional unceded territory of the WSÁNEĆ Nation people, in the village of WJOȽEȽP (Brentwood Bay) for occasional travel to meetings.
