Administrative Assistant – B.G. Self Loading Ltd.

We specialize in custom logging services for a variety of clients throughout the Vanderhoof and Fort St. James forest districts. We are seeking a reliable, organized, and detail-oriented Administrative Assistant to support our office operations and field teams. This role is critical for keeping our administrative systems running smoothly in a fast-paced forestry environment.

Position Summary

  • Location: Vanderhoof, BC (in-person)
  • Employment Type: Full-time
  • Compensation: $25.00 – $35.00 per hour, depending on experience
  • Schedule: Monday to Friday (standard office hours with some flexibility during peak seasons)

Key Responsibilities

  • Process time sheets, review for anomalies, and enter
  • Handle fuel & site-specific cost tracking
  • Check and verify invoices, perform price checking on parts/supplies, and support procurement
  • Manage document preparation, filing (physical and digital), record keeping, and SiteDocs administration
  • Support onboarding of new employees, maintain employee records, benefits, insurance, and training/certification tracking (including FW, TDG courses)
  • Monitor office email, draft correspondence, and follow up on meetings
  • Organize operational information and other documents into project folders
  • Build and maintain forms, procedures, and inventory lists
  • Coordinate events, manage promotional items, and digital accounts as needed
  • Ensure accurate and up-to-date record keeping across all administrative functions

Qualifications and Requirements

Knowledge

  • Completion of Grade 12 (Dogwood Certificate)
  • Completion of the Applied Business Technology Program or Administrative Assistant Certificate (or equivalent) an asset
  • Valid BC Driver’s Licence – Class 5

Experience

  • 2–3 years of relevant office or administrative experience (forestry, logging, or contracting industry is a strong asset)

Skills & Abilities

  • Excellent interpersonal skills with the ability to communicate effectively in English, both orally and in writing
  • Ability to use courtesy, tact, and discretion when dealing with requests, complaints, or clarification of information
  • Self-motivated, self-directed, and flexible with strong organizational and planning skills
  • Ability to work as a team member to manage office workload and streamline procedures
  • Good understanding of Business English, spelling, and punctuation
  • Maintains the confidentiality of sensitive information
  • Demonstrated proficiency with communication technology, word processing, database management, and spreadsheet programs (Microsoft Office / Google Workspace)
  • Strong attention to detail and ability to manage multiple priorities
